Bonfida Signature Ltd · Company No. 14623005 · Last revised July 2026

In short: we collect only what we need to run our services and to answer questions about payments collected under the bank descriptor BONFIDA SIGNATURE. We never sell your data, and you can reach us about any of it at [email protected].

01Who we are

This policy describes how Bonfida Signature Ltd (“Bonfida Signature”, “we”, “our”) handles personal information. We are a business services company registered in England and Wales under company number 14623005, with our registered office at Flat 25 Thurso House, Randolph Gardens, London, United Kingdom, NW6 5EL. We act as the data controller for the information described below.

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

02The information we hold

Depending on how you interact with us, we may hold:

  • Your name, contact details, and correspondence with us
  • Bank account details (including IBAN) and SEPA direct debit mandate information, where a payment relationship exists
  • Records of charges, subscriptions, refunds, and amendments linked to your mandate
  • Client identifiers such as your client number
  • Business records you provide in the course of a service engagement
  • Technical data generated when you visit this website (IP address, browser, pages viewed)

03Why we process it

We use personal information only for defined purposes:

  • Administering payments collected by SEPA direct debit under a valid mandate
  • Answering enquiries about charges appearing on bank statements under the descriptor BONFIDA SIGNATURE — including identifying, clarifying, amending, or refunding a transaction
  • Delivering the receivables, coordination, consulting, and records services we are engaged for
  • Meeting our legal, accounting, and tax obligations under UK law
  • Keeping our website secure and improving how it works

Our lawful bases are performance of a contract, compliance with legal obligations, and our legitimate interest in operating an orderly, secure business. Where we rely on consent, you may withdraw it at any time.

04Bank statement enquiries

If you contact us about a charge shown on your statement as BONFIDA SIGNATURE, we will use the details you supply (name, client number, IBAN) solely to locate the relevant mandate and transaction records and to respond to your enquiry. Lookup requests and their outcomes are logged internally for compliance and audit purposes.

05Who receives your data

We do not sell personal data. We share it only where necessary with:

  • Banks and payment institutions involved in executing SEPA direct debit collections
  • Our accountants, auditors, insurers, and professional advisers
  • IT and hosting providers who support our systems under contract
  • HMRC, Companies House, courts, or regulators where the law requires it

06How long we keep it

We keep records only as long as they are needed. Financial and mandate records are retained for at least six years after the end of the relevant financial year, as UK law requires. Routine correspondence is kept for as long as reasonably necessary to deal with the matter and any follow-up.

07Security

Access to personal data is restricted to those who need it. We use encrypted transmission, access controls, and structured retention and disposal practices to protect information against loss, misuse, and unauthorised access.

08International transfers

Personal data is processed primarily within the United Kingdom. Where a transfer outside the UK is unavoidable, we put safeguards in place that satisfy UK GDPR requirements, such as adequacy decisions or standard contractual clauses.

09Your rights

You may ask us at any time to access, correct, erase, or restrict the personal data we hold about you, to object to processing based on legitimate interests, or to receive your data in a portable format. Write to [email protected] and we will respond within one month.

If you are unhappy with our response, you can complain to the Information Commissioner’s Office at ico.org.uk.

10Cookies

This website uses a small number of cookies that are necessary for it to function, and may use analytical cookies to understand how visitors use the site. You can control cookies through your browser settings.
